We are currently seeking a Homecare Administrative Assistant to join our team and provide essential support to our Client Care and Scheduling departments.

Responsibilities

  • Answer phone calls and emails in a professional and timely manner
  • Maintain organized filing systems (both paper and electronic)
  • Assist the scheduling team with shift updates, cancellations, and service changes
  • Communicate shift confirmations, changes, or cancellations to staff and clients as required
  • Maintain accurate, confidential client records in compliance with PHIPA
  • Address general inquiries related to services, schedules, or documentation
  • Support new employee onboarding, including preparing paperwork and orientation materials
  • Assist with scheduling and conducting interviews for new staff
  • Perform additional administrative duties as assigned

Qualifications

  • Education in Office Administration – Health Services (1-year or 2-year programs), Medical Office Administration or Business Administration – Office Management
  • Previous administrative experience in homecare is strongly recommended
  • Strong computer skills with the ability to learn new software quickly
  • Excellent customer service abilities and strong verbal and written communication skills
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Ability to maintain confidentiality and work with sensitive information
  • Experience with scheduling or care coordination is preferred
  • Knowledge and experience with AlayaCare and CRM systems is an asset
  • Proficiency with Microsoft Office and web-based applications
